University-Internal Data

What is University-internal data?

There are certain data elements that are available to eligible employees and designated employees of the university for purposes of university business. Proper access controls (in other words, permissions) must be applied accordingly to prevent inappropriate access to this type of information. This means this data cannot be released to the public (e.g. students, media) without approval from the appropriate data stewards.

This data classification does not include access by students unless they are also employed by the university or appointed to a committee that requires permissions to the data for university business.  

Examples of University-internal classified data include:

  • University identification (UID) numbers

  • Employee offer letters, faculty tenure recommendations

  • Basic floor plans showing egress routes and shelter areas

NOTE: Sharing non-public institutional data (critical, restricted, and university internal data classifications) with any third party (including Generative AI public tools) is a violation of DM-01: Management of Institutional Data and DM-02: Disclosing Institutional Information to Third Parties and can result in sanctions by the university.
